CELPIP Speaking Task 6: declining a shift request

Decline a request respectfully while offering a specific alternative you can actually provide.

By MockMaple · Updated

Try the prompt

A coworker asks you to cover an entire Saturday shift. You have a family commitment in the morning but could work after two. Explain why you cannot cover the whole shift and offer a realistic alternative.

  • Your morning commitment cannot move.
  • You are available after 2 p.m.
  • You cannot promise that a manager or another coworker will agree.

Plan your approach

  1. Acknowledge why the coworker needs help.
  2. State your limit clearly.
  3. Offer partial help and suggest checking approval.

Complete sample response

Hi Jordan, I understand that you need Saturday off, and I would like to help. Unfortunately, I cannot cover the whole shift because I have a family commitment that morning. I have already agreed to be there, so changing it at short notice would be difficult. What I can offer is to come in after two and work until closing. If someone else can cover the morning, that might give you the day off without leaving the team short of staff. We would still need to check the arrangement with our manager before either of us changes our plans. If that option does not work, I am happy to help you write a message asking whether anyone is available for the earlier part. I do not want to promise more than I can do, but I can definitely help with the afternoon if the manager approves. Let me know whether that would be useful, and we can ask together.

Why these choices work

A response or interpretation to improve

No, I cannot work. Find somebody else. The manager will definitely approve whatever you arrange.

Separate empathy from agreement

The opening recognises the request without accepting the full shift. The time limit is explicit, so kindness does not create ambiguity.

Keep authority clear

Manager approval is a condition, not a promised outcome. The speaker controls their availability but cannot speak for the manager.

Vocabulary in context

at short notice

With little time to prepare.

Changing the arrangement at short notice would be difficult.

Choose the right alternative: Unexpectedly describes surprise; at short notice describes limited preparation time.

Usage note: Use at short notice or on short notice; avoid in short notice.

1. What does the speaker actually offer?
2. Which phrase avoids claiming authority the speaker lacks?
All answers and explanations

What does the speaker actually offer?

Answer: Afternoon coverage subject to approval

Evidence: I can definitely help with the afternoon if the manager approves.

  • A guaranteed full day off: Other coverage and approval are still needed.
  • Morning coverage: The speaker has a morning commitment.
  • Afternoon coverage subject to approval: The offer starts after two and needs manager approval.

Which phrase avoids claiming authority the speaker lacks?

Answer: We would still need to check the arrangement with our manager

Evidence: We would still need to check the arrangement with our manager

  • We would still need to check the arrangement with our manager: It explicitly reserves the approval decision for the manager.
  • I have a family commitment: It explains availability, not authority.
  • Hi Jordan: The greeting does not set an approval boundary.

Try a new situation

A friend asks to borrow your car all weekend, but you need it on Sunday. Explain your limit and offer help that does not depend on an unconfirmed promise.

Use your own notes or voice recorder, then check your work:

  • Is your refusal clear and respectful?
  • Does your alternative fit your stated availability?
  • Have you distinguished your decision from someone else’s approval?
