Housing vocabulary: reporting a maintenance problem

Learn eight expressions for describing a repair problem, arranging access and following up politely.

Try the prompt

Read a fictional maintenance conversation. Focus on the reported observation, proposed visit and unresolved cause.

  • This lesson teaches language, not tenancy rights or legal obligations.
  • The conversation does not establish the cause of the problem.

Plan your approach

  1. Describe what can be observed.
  2. Separate an inspection from a completed repair.
  3. Ask for confirmation of the access arrangement.

Resident: I would like to report a leak under the kitchen sink. The cupboard floor becomes wet whenever I run the tap, but I cannot see where the water is coming from. Coordinator: Thank you for reporting it. We can arrange an inspection on Tuesday morning. Would you be available to let the technician in? Resident: I can be home between nine and eleven. Could you confirm the appointment window? I would also appreciate an update if the technician is delayed. Coordinator: I will check that time and get back to you. The technician will inspect the pipework before deciding what needs to be repaired. Resident: Thank you. I have placed a container under the drip for now, but I understand that is only a temporary measure. Please let me know once the visit is confirmed.

Why these choices work

A response or interpretation to improve

The pipe is definitely broken. I have reported an appointment, so the entire repair is guaranteed on Tuesday.

Report observation separately from diagnosis

The resident describes water and when it appears without claiming to know the cause. Report a leak and arrange an appointment serve different purposes.

Keep confirmation separate from a proposal

The coordinator must check the time. “Get back to you” promises a later response, not a completed repair or a confirmed booking.

Vocabulary in context

leak

An escape of liquid or gas through an unintended opening.

There is a leak under the sink.

Choose the right alternative: Drip describes small falling drops; leak describes the escape or its source.

Usage note: Use a leak in a pipe or under a sink; do not assume every wet surface proves a particular cause.

maintenance

Work that keeps something in working condition.

Please contact the maintenance team.

Choose the right alternative: Repair fixes a fault; maintenance can also prevent faults.

Usage note: Usually uncountable: maintenance work, not a maintenance.

inspection

An examination to assess condition.

The technician will carry out an inspection.

Choose the right alternative: Repair changes or fixes something; inspection checks it.

Usage note: An inspection does not itself promise that a repair is completed.

appointment window

The period when a visit is expected.

Could you confirm the appointment window?

Choose the right alternative: An exact appointment time is a single time; a window spans a period.

Usage note: Specify between nine and eleven, not between nine to eleven.

access

The ability or permission to enter or use something.

We need to arrange access to the cupboard.

Choose the right alternative: Entrance is a physical way in; access is the ability or permission to enter.

Usage note: Access to a room; avoid access of a room in this meaning.

temporary measure

An action intended to help for a limited time.

The container is a temporary measure.

Choose the right alternative: Permanent solution implies a lasting resolution.

Usage note: Temporary describes duration, not necessarily safety or suitability.

get back to someone

Respond later with information.

I will get back to you after checking the schedule.

Choose the right alternative: Call back specifies a phone call; get back to can use another communication channel.

Usage note: Conversational; respond or provide an update is more formal.

keep someone posted

Continue giving someone updates.

Please keep me posted about the visit.

Choose the right alternative: Confirm settles a particular detail; keep posted requests ongoing updates.

Usage note: Informal; keep me informed is a neutral alternative.

All answers and explanations

Which statement is supported?

Answer: Tuesday’s time still needs confirmation

Evidence: I will check that time and get back to you.

  • The exact cause is known: The resident cannot locate the source.
  • Tuesday’s time still needs confirmation: The coordinator says the time must be checked.
  • The repair has been completed: Only a proposed inspection is described.

What does “temporary measure” describe here?

Answer: The container under the drip

Evidence: I have placed a container under the drip for now

  • The container under the drip: The container helps for now without being a repair.
  • A permanent replacement pipe: No pipe replacement is confirmed.
  • An approved appointment: An appointment is a separate arrangement.

Try a new situation

Write a maintenance request about a door that sticks. Describe what you observed, when you are available and what you want confirmed, without diagnosing the fault.

Use your own notes or voice recorder, then check your work:

  • Did you distinguish the symptom from its cause?
  • Did you use access to correctly?
  • Have you avoided treating an inspection as a completed repair?
